Notes
Creating, organizing, and sharing notes with your team.
The Notes module provides a flexible way to capture ideas, track action items, and share information with your team. TekToro supports three note types, each designed for a different use case.
Note Types
Text Notes
Rich text notes with full formatting support — bold, italic, underline, links, font family, and font size. Text notes can hold up to 10,000 characters and are ideal for meeting notes, decisions, reference material, or any free-form content.
Checklist Notes
Structured notes with multiple items that can be individually checked off. Checklist items can be reordered via drag-and-drop, making them useful for task lists, agendas, or step-by-step procedures.
Image Notes
Upload an image with an optional caption (up to 500 characters). Supported image formats include JPG, PNG, GIF, WebP, and SVG. Image notes are useful for screenshots, diagrams, or visual references.
Creating a Note
Click Create Note to open the creation dialog:
- Enter a title (required, up to 200 characters)
- Select the note type (text, checklist, or image)
- Add your initial content
Organizing Notes
Labels
Organize notes with color-coded labels:
- Six colors available: pink, purple, green, blue, orange, and yellow
- Create custom labels with your own names
- Assign multiple labels to a single note
- Filter the notes list by label to focus on a specific category
- Default labels are automatically created for new users
Views
The sidebar provides three views:
- Notes — all active (non-archived) notes
- Archive — notes that have been archived (recoverable)
- Shared — notes that other users have shared with you
Display Modes
Toggle between Grid view (cards) and List view (table) depending on your preference.
Editing Notes
Click any note to open it in the editor:
- Text notes open in a full-screen rich text editor with a formatting toolbar
- Checklist notes allow you to add, edit, reorder, and toggle completion on individual items
- Image notes let you update the caption
- All note types support changing the title and labels
Archiving and Deleting
- Archive — moves a note to the Archive view. Archived notes are not deleted and can be restored at any time by unarchiving them.
- Delete — permanently removes a note. This action cannot be undone.
Sharing and Collaboration
Share notes with other members of your workspace:
- Share a note with one or more team members (requires the notes.share permission)
- Choose a permission level for each recipient:
- Read — the recipient can view the note but cannot edit it
- Edit — the recipient can view and modify the note content
- Share with clients — share notes with client portal contacts (requires the notes.share_client permission)
- Update permissions — change a recipient's access level after sharing
- Unshare — revoke access for a specific recipient
Shared notes appear in the recipient's Shared view, along with information about who shared the note and when.
Search
Use the search bar to find notes by title or content. Search works across all active notes and can be combined with label filtering for more precise results.
