Using the AI Assistant

How to ask questions, interpret responses, and get the most out of TekToro's AI assistant.

The AI assistant is available from the main EMS sidebar. Open it to start a conversation — no setup required. The AI already has access to your organization's live data based on your account and permissions.

Starting a Conversation

Click the AI Assistant icon in the sidebar to open the chat panel. Type your question in the input field and press Enter. The AI streams its response in real time so you can begin reading before the full answer is generated.

Each conversation maintains context within the session. You can ask follow-up questions without repeating background information:

  • "Show me the status of the Solar Grid Expansion project."
  • "What invoices are outstanding for that project?"
  • "Draft a status update email for the client contact."

What You Can Ask

The AI can answer questions across all EMS modules your organization has enabled:

Projects

  • Project status, progress, and timeline
  • Task assignments and deadlines
  • Budget versus actual spend
  • Milestone completion and upcoming deliverables

Financials

  • Open and overdue invoices
  • Revenue by client or project
  • Budget summaries and variances
  • Billing pipeline and payment history

Clients

  • Client contact details and activity history
  • Service rates and contract terms
  • Compliance status and document requirements

HR and Team

  • Team member roles, assignments, and availability
  • Certification and compliance tracking
  • Contract expiration dates

Documents

  • Search uploaded SOPs, contracts, and specifications
  • Find relevant procedures or policies
  • Retrieve project history and past decisions

Understanding AI Responses

The AI draws from two sources when answering:

  1. Live EMS data — real-time information from your projects, invoices, clients, and team records
  2. Document knowledge base — content from documents your organization has uploaded

When the AI references specific data, it is pulling from your actual records. If data is unavailable or the AI cannot find a confident answer, it will tell you directly rather than guessing.

Tips for Better Results

  • Be specific — "What is the budget status of the BlueFlare SCADA project?" returns a more useful answer than "How are projects going?"
  • Name entities directly — use client names, project names, and team member names when possible
  • Ask follow-ups — the AI remembers context within a session, so build on previous answers
  • Request formats — ask for summaries, bullet points, tables, or draft emails to get output in the format you need

Session Management

  • New conversation — click "New Chat" to start a fresh session with no prior context
  • Conversation history — previous sessions are saved and accessible from the History panel
  • Clear session — remove the current conversation if you want to start over

Access and Permissions

The AI respects your role-based access permissions. You can only ask about data you are authorized to view in the EMS. If you ask about data outside your access scope, the AI will let you know that information is not available to your role.
