Overview of TekToro's built-in AI assistant, document knowledge base, and intelligent automation capabilities.
TekToro EMS includes an embedded AI assistant that understands your organization from day one. Rather than a generic chatbot, the AI operates within your private data environment — your projects, clients, financials, documents, and team — delivering answers and insights that are specific to your business.
What the AI Assistant Does
- Natural Language Data Access — Ask questions about your projects, invoices, clients, and team in plain language. The AI queries your live EMS data and returns precise, up-to-date answers without requiring you to navigate dashboards or run reports.
- Document Knowledge Base — Upload your company documents — SOPs, contracts, project history, equipment specifications — and the AI uses them to ground its answers. When you ask a question, the AI draws on both your live data and your uploaded knowledge base.
- Per-Organization Intelligence — The AI adapts to your industry, your terminology, and your workflows. An oil and gas operator receives answers framed for field operations. A data center team gets responses tuned to infrastructure management. The AI persona is fully configurable per organization.
- Actionable Insights — Beyond answering questions, the AI can surface proactive insights: overdue tasks, budget variances, upcoming deadlines, and compliance gaps — all drawn from your live operational data.

Ask Questions, Get Answers
The AI assistant is accessible from the main EMS sidebar. Type a question in plain language and receive a contextual response drawn from your organization's data:
- "What projects are behind schedule this quarter?"
- "Show me open invoices for Pinnacle Energy Partners."
- "Who on my team has expiring certifications this month?"
- "Summarize the Solar Grid Expansion project status for Jennifer Walsh."
The AI understands context across modules. A single question can pull data from projects, invoices, CRM, and HR simultaneously.
Upload and Search Your Documents
The Document Knowledge Base lets administrators upload files that become part of the AI's knowledge. Supported formats include PDF, DOCX, and TXT.
- Drag-and-drop upload with automatic processing
- Source tagging — categorize uploads as SOPs, Contracts, Project Documents, Equipment Specs, or Other
- Intelligent search — the AI retrieves the most relevant sections from your documents when answering questions
- Full management — view, organize, and remove documents from your knowledge base at any time
When the AI answers a question, it draws on both your live EMS data and your uploaded documents, giving you answers grounded in your organization's complete knowledge.
Configurable AI Persona
Each organization's AI assistant is configured to match their operating context:
- Industry vertical — the AI adjusts its language and assumptions based on your sector
- Terminology overrides — map your internal language so the AI speaks your vocabulary (e.g., "site" instead of "location," "change order" instead of "amendment")
- Custom instructions — add organization-specific behavioral rules the AI should follow
- Module awareness — the AI knows which EMS modules your organization uses and scopes its answers accordingly
Data Privacy and Isolation
TekToro's AI is built on a strict data isolation model:
- Complete tenant isolation — your data is never visible to other organizations. Isolation is enforced at the database level, not just in application code, making cross-tenant data leakage architecturally impossible.
- Zero-training guarantee — TekToro does not use your data to train, fine-tune, or improve AI models. Your financial records, client identities, project data, and documents are never used for model training.
- Role-based access enforcement — the AI respects all existing Role-Based Access Control permissions. Users can only ask the AI about data they are authorized to see. A Light Seat user cannot query the AI for executive financial dashboards.
- Human-in-the-loop — all AI outputs are advisory. No AI response automatically triggers a financial transaction, project action, or system change without explicit authorization from an authorized user.
- Full audit trail — every AI interaction is logged with an auditable rationale, supporting compliance review and governance requirements.
Who Can Use the AI
Access to the AI assistant follows TekToro's standard seat-tier model:
- Full Seats — complete access to the AI assistant, document knowledge base management, and AI configuration settings
- Light Seats — access to the AI assistant for questions within their authorized data scope
- Client Seats — access to the AI assistant for questions about their designated project milestones, financial status, and shared documents
Rollout Phases
The AI Intelligence module is delivered in three phases:
Phase 1 — AI Assistant with Live Data
The AI assistant connects to your live EMS data across projects, financials, and CRM. Ask questions in natural language and receive answers drawn directly from your operational data.
Phase 2 — Document Knowledge Base
Upload your organization's documents and the AI incorporates them into its knowledge. Answers are grounded in both your live data and your uploaded documents for complete, contextual responses.
Phase 3 — Intelligent Actions
The AI expands from answering questions to taking actions on your behalf — creating tasks, drafting change orders, generating scheduled summaries, and surfacing proactive insights before you ask.
